Stock

Stock that matches the shelf

Purchases, the order list, counting, transfers, damaged goods, batches and expiry.

Everything moves the stock

A purchase bill adds, a sale takes away, a return puts back, a transfer moves between shelves. Nothing has to be entered twice, and the stock screen shows the figure as it stands right now, shelf by shelf.

Entering a supplier's bill

Purchases → New: pick the supplier, type the bill number and date as printed, and the lines. Type the amount and the rate works itself out; type a new MRP and the item keeps it. The expected profit on the bill is shown before Save, for those allowed to see cost.

The order list

Give an item a reorder level, and the day it falls below, it is on the Order list with the supplier it last came from. When the goods arrive and the purchase is entered, it drops off by itself.

Counting the stock

Stock audit: count a shelf — the whole of it, or one category — type what is there, and post the difference as an adjustment with a reason. The count can be done on the counter PC in the aisle.

Damaged and expired

Damaged goods go to their own pile, out of the sellable stock but still on the books until they are written off or returned to the supplier.

Batches, expiry and serial numbers

Where the plan holds it: a batch with its expiry on medicines and food, a serial number on electronics. The till never sells a batch that has expired, and the home screen says what is about to.

Transfers between branches

A transfer takes stock off one branch's shelf and puts it on another's, with a challan for the goods on the road.
